## 2. What data we collect
### 2.1 Data you give us directly
When you contact us, request a quote, or book a tour, we may collect:
- Name and title
- Email address and telephone number
- Postal or billing address
- Company or travel agency name, where you book through the trade
- Hotel name and dates of stay in Amsterdam
- Number of guests and names of guests in your party
- Language preference
- Tour preferences and interests
- Accessibility needs, mobility requirements, allergies, and dietary requirements, where you choose to share them
- Payment and invoicing details
- Any other information you include in your messages to us
### 2.2 Data we receive from third parties
If you book through a travel agency, tour operator, concierge, hotel partner, or booking platform, that party will pass us the details needed to deliver your tour. This is typically your name, party size, contact details, dates, and any requirements you have shared with them.
### 2.3 Data collected automatically
When you visit our website we may collect technical data such as your IP address, browser type, device type, pages viewed, and the site you arrived from. Where this data is collected through cookies or similar technologies that are not strictly necessary, we do so only with your consent. See section 7.

## 4. Special category data
Information about health, mobility, disability, or medical dietary needs is treated as a special category of personal data under the GDPR. We only collect it where you or your booking agent choose to share it so that we can plan your tour properly. We use it solely for that purpose, share it only with the guide and the venues that need to know, and delete it once the tour is complete and any related invoicing is settled.
You are never obliged to share this information, though it may limit what we can arrange for you.

## 5. Who we share your data with
We share your data only where it is necessary. Recipients may include:
- Our guides, including freelance guides engaged for your tour, who receive only what they need to deliver it
- Venues and suppliers such as museums, private canal homes, restaurants, boat operators, and drivers, who typically receive a guest name and party size, plus any dietary or accessibility requirement relevant to them
- Travel agencies, tour operators, and hotel partners, where your booking came through them
- Our bookkeeper and accountant, and where required the Dutch Tax Administration
- Service providers who support our business, including email, cloud storage, invoicing, and website hosting providers
We do not sell your personal data, and we do not share it for the advertising purposes of others.
Where a service provider processes data on our behalf, we have a data processing agreement in place requiring them to protect it and to use it only on our instructions.

## 6. Transfers outside the European Economic Area
Some of our service providers, including certain email, cloud, and analytics providers, are based outside the EEA or process data outside it. Where that is the case, we rely on an adequacy decision by the European Commission or on the European Commission's Standard Contractual Clauses, together with additional safeguards where needed.

## 9. How long we keep your data
- Inquiries that do not lead to a booking: up to 12 months, so that we can pick up the conversation if you return to us
- Booking and guest records: up to 2 years after the tour, for service continuity and to handle any complaint
- Accessibility, health, and dietary information: deleted once the tour is complete and invoicing is settled
- Invoices and financial records: 7 years, as required by Dutch tax law
- Marketing contacts: until you unsubscribe or ask us to remove you
- Website analytics data: as set out in our cookie settings

## 10. How we protect your data
We use reputable providers for email, storage, and invoicing, restrict access to guest data to the people who need it, brief our guides on confidentiality, and require freelance guides to handle guest data only for the tour concerned. No system is perfectly secure, but we take appropriate technical and organizational measures to protect your information.

## 11. Children
Our tours are booked by adults. We do not knowingly collect data directly from children. Where a booking includes children, we receive only the details the booking adult provides, such as first names and ages, so that we can plan the tour appropriately.
